The US Postal Service is often the first shipping partner a small business uses, and for good reason. It delivers to every address in the country, six days a week, it supplies Priority Mail boxes free, it picks up packages from your door at no charge, and its online tools give even the smallest seller access to discounted business prices. It also runs one of the most affordable ways to market to an entire neighborhood.
But USPS has a lot of services with similar names, and 2026 brought several pricing changes. This guide explains every service a small business is likely to need, what each is best for, and how to keep your postage costs down.

Shipping packages: Ground Advantage or Priority Mail?
Most small businesses ship most packages with one of two services:
- USPS Ground Advantage is the budget choice, typically delivering in 2 to 5 business days and including tracking and up to $100 of insurance. Retail prices started at about $7.90 in July 2026.
- Priority Mail is faster, typically 1 to 3 business days, with retail prices starting at about $11.00. It comes with free boxes and envelopes delivered to your door, and Flat Rate boxes that ship at one price to anywhere in the country, which can be a bargain for small, heavy items going far.
A simple rule: use Ground Advantage for light and medium packages where a few extra days don’t matter, and Priority Mail when speed matters or when a Flat Rate box beats the weight-based price.
Retail vs commercial prices
There are two price levels for packages:
- Retail prices: what you pay at the Post Office counter.
- Commercial prices: lower prices available when you buy postage online through USPS Click-N-Ship or approved shipping software, with no contract or minimum volume.
If you ship regularly, never pay retail prices. Buying labels online is cheaper, faster and lets you schedule free pickups. Our guide to Click-N-Ship and commercial pricing walks through it.
What changed in 2026
USPS made several changes in 2026 that affect small businesses:
- January 18, 2026: shipping prices rose, with Ground Advantage up an average of 7.8% and Priority Mail 6.6%.
- April 26, 2026 to January 17, 2027: a temporary 8% surcharge applies to many package prices.
- July 12, 2026:
- The 4-ounce and 8-ounce price tiers ended for published commercial Ground Advantage prices, so very light packages now cost the same as packages up to a pound at commercial rates.
- Package dimensions are rounded up to the next whole inch.
- The dimensional weight divisor fell from 166 to 139 for packages larger than one cubic foot, which means large, light boxes are charged as if they were heavier.
- Analysts estimate these changes raised commercial Ground Advantage prices by an average of 11.8%.
- PO Box prices rose 3%.
What it means for you: small, light items cost more to ship than a year ago, and oversized boxes cost more than they used to. Using the smallest box that protects your product matters more than ever.
Free services worth using
- Free Package Pickup: schedule pickups online and your carrier collects packages during regular delivery, saving trips to the Post Office.
- Free Priority Mail supplies: order boxes, envelopes and labels online, delivered free.
- Tracking: included with Ground Advantage, Priority Mail and Priority Mail Express.
- Informed Delivery: a free daily email preview of incoming mail for many addresses.
- Address verification: check addresses before you ship to avoid returns and delays.
PO Boxes and business addresses
A PO Box gives you a secure mailing address that isn’t your home, which is useful if you run your business from home and don’t want your home address on invoices, your website or public business records. Sizes and prices vary by location, and prices rose 3% in July 2026. Some Post Offices offer "street addressing" for PO Boxes, which lets you receive packages from other carriers at your box.
Note that a PO Box usually can’t be your registered agent address for an LLC or corporation, because registered agents need a physical address where legal papers can be delivered in person.
Marketing with USPS: Every Door Direct Mail
Every Door Direct Mail (EDDM) lets you send a flyer or postcard to every household on the mail routes you choose, without buying a mailing list. With EDDM Retail, postage is $0.26 per piece (since July 12, 2026), and you can mail 200 to 5,000 pieces per ZIP Code per day with no permit. It’s one of the most affordable ways for restaurants, contractors, salons and other local businesses to reach every home nearby. See our full Every Door Direct Mail guide.
Shipping internationally
USPS also ships to most countries, through First-Class Package International, Priority Mail International and Priority Mail Express International. You’ll need a customs form for most international packages, which Click-N-Ship and shipping software fill in for you when you print the label. Describe contents accurately, list each item’s value, and check the destination country’s restrictions before you ship. Buyers may pay import duties and taxes on delivery, so explain this on your website to avoid surprises and refused packages.
Handling returns
Make returns easy, and you’ll win repeat customers. USPS lets businesses create prepaid return labels that customers print at home, and some shipping software offers pay-on-use returns, so you’re only charged when a label is actually used. Put your return policy in writing on your website and in your order confirmation, and decide in advance who pays for return shipping.
Choosing the right packaging
- Use the smallest box or mailer that protects your product.
- Poly mailers and padded envelopes are light and cheap for soft or unbreakable items.
- Priority Mail Flat Rate boxes suit heavy, dense items going far.
- Cushion fragile items so they can’t move inside the box.
- Measure and weigh every new product’s packaging once, and save the details in your shipping software so every label is accurate.
A worked example: shipping costs for a small online shop
These are illustrative assumptions to show how choices add up, not quoted prices.
An online candle shop ships 200 orders a month:
| Choice | What happens |
|---|---|
| Paying retail prices at the counter | Highest cost, plus about 8 hours a month waiting in line |
| Buying commercial-priced labels online | Lower postage on every label, and free pickups replace counter visits |
| Moving heavy multi-candle orders into Priority Mail Flat Rate boxes | Saves money on heavy orders to distant zones |
| Switching from an oversized box to a snug one | Avoids dimensional weight charges on bulky packages |
Each change is small per package, but across 200 orders a month the savings add up to a meaningful share of profit. Compare prices for your own typical package sizes and destinations.
How to set up USPS for your business
- Create a USPS.com business account with your business name and address.
- Order free Priority Mail supplies if you’ll use Priority Mail.
- Buy a shipping scale so every label uses the correct weight.
- Print labels online with Click-N-Ship or shipping software to get commercial prices.
- Schedule free pickups for days you ship.
- Add tracking information to your order emails so customers can follow their packages.
- Review your costs quarterly, especially after USPS price changes, and adjust your shipping charges.
Common mistakes
- Paying retail prices at the counter for every package.
- Using oversized boxes, which now cost more under dimensional weight rules.
- Guessing weights, leading to underpaid postage and delayed packages.
- Not passing on shipping costs, so free shipping quietly eats your margin.
- Forgetting to compare carriers. USPS is often cheapest for light packages, but not always for heavy ones. See USPS vs UPS vs FedEx.
