How to use it
- Choose Quote or Invoice, and check the number and dates. Numbers count up automatically: Q-0001, Q-0002 for quotes and INV-0001, INV-0002 for invoices.
- Add your customer’s details.
- Add items with a description, quantity and price. Quantities can include decimals, such as 1.5 hours. Untick Taxable for items that aren’t subject to sales tax.
- Add a discount, tax rate and any shipping or other charges.
- Add payment instructions, such as how to pay and when.
- Save as PDF and send it to your customer.
When a customer accepts a quote, open it and choose Turn this quote into an invoice. The items carry over, the invoice gets its own number, and the quote stays saved for your records.
Quotes vs invoices
- A quote (or estimate) tells a customer what a job will cost before they agree. Include what’s included, how long the price is valid and any assumptions.
- An invoice asks for payment for work done or goods delivered. Include a clear due date and how to pay.
Tips for getting paid faster
- Send invoices promptly, ideally the same day the work is finished.
- Set clear payment terms, such as “due within 14 days”.
- Make paying easy with several options: card, bank transfer or a payment link.
- Ask for a deposit on larger jobs, and record it as an amount already paid.
- Follow up politely when a payment is late, and keep records of every reminder.
About sales tax
Sales tax rules vary by state and city, and some products and services aren’t taxable. This tool applies the rate you enter to items marked taxable; it doesn’t look up rates or give tax advice. Check your state’s rules, and see our guide to small business taxes and bookkeeping.
Your privacy
The generator runs entirely in your browser. Your documents, customers and prices are never uploaded to Advanton. They’re saved on this device only, so clearing your browser data removes them; keep PDF copies of everything you send.
